About

Hiring doesn't end when a candidate says yes

DayOneFlow exists for the months between an accepted offer and a confirmed employee: the stretch where work is spread across inboxes, documents and spreadsheets, and where things quietly fall through.

  1. Stage 1: Selected
  2. Stage 2: Offer
  3. Stage 3: Acceptance
  4. Stage 4: Preboarding
  5. Stage 5: Ready to join
  6. Stage 6: Onboarding
  7. Stage 7: Check-ins
  8. Stage 8: Probation
  9. Stage 9: Confirmed, extended or ended

Why we exist

The gap between “yes” and day one, and beyond

Recruiting tools are built to get a candidate to “yes”. HR systems are built to manage employees. The months in between, from the offer through preboarding, the first day, onboarding and probation, often live in email threads, shared documents and someone's memory.

That is where an unsigned form surfaces on day one, a laptop isn't ready, a check-in is forgotten, or a probation deadline passes without anyone deciding. The cost lands on the new hire, the manager and the HR team that has to chase everyone.

DayOneFlow turns that period into one visible workflow with clear owners, deadlines, joining readiness, reminders and decisions you can audit later.

What tends to go wrong

  • Offers and candidate communication are scattered across email and documents.
  • HR keeps chasing managers, IT, facilities and the new hire for the same things.
  • Nobody can see whether a new hire is ready until something is missing on day one.
  • Onboarding checklists differ by department, location and whoever runs them.
  • Managers forget check-ins, and probation deadlines pass without a documented decision.
  • New hires don't know what is expected of them next.

Our mission

One source of truth from offer to confirmation

Everything an organization has to do to turn a selected candidate into a confirmed employee, in one place: the offer, the paperwork, the people involved, the first weeks and the probation decision. Visible to the people who need it, and to no one else.

Principles we build by

They decide what goes into the product, and how it behaves when something goes wrong.

Clear ownership

Every task and every blocker shows what it is, who owns it, when it is due and what resolves it. Managers get a short list of what is theirs, not an HR system to learn.

Nothing silently dropped

A task nobody can be assigned to becomes a visible blocker for HR. Template changes never quietly rewrite journeys already under way, and a high readiness score never hides a critical blocker.

Auditable by default

Important actions land in an append-only audit trail. A sent offer can't be edited, and an acceptance is tied to the exact version the candidate saw.

Candidate-friendly

New hires get one personal page, built for phones, showing their next action, their progress and what comes next. No account or password needed.

Privacy by design

We collect the minimum, keep salaries out of emails and reports, and use no tracking. Each organization's data is kept separate and checked on every request.

Probation is part of the job

Check-ins, the probation deadline and the final decision to confirm, extend or end are built in, not left to a calendar reminder.

What we deliberately don't build

DayOneFlow does one job: everything needed to turn a selected candidate into a confirmed employee, and nothing unrelated. Staying focused keeps it quick to adopt next to the systems you already use.

  • Applicant tracking: job postings, interviews and requisitions
  • Payroll, benefits and expenses
  • Attendance, leave and timesheets
  • A full HR system of record for employees
  • Annual performance reviews and compensation planning
  • A learning management system or course authoring
  • IT asset inventory, device management and account provisioning
  • Background-check screening
  • Offboarding
  • Home-made “legally binding” e-signatures: an offer acceptance is recorded as an acknowledgement, not a signature
  • AI that makes decisions: people make offers and probation decisions

If you need any of these, the systems built for them remain the right choice. DayOneFlow covers the stretch from offer to confirmation. See what it does.
