  1. Latest

Document checks, verification tracking and your signature on letters

HR checks every document a new hire uploads, verification checks sit next to readiness and probation, letters carry your organization's signatory, and HR team members see and hear about their tasks.

    New

    • HR checks every upload

On the Documents tab, accept each document or ask for a new copy with a short message. The new hire sees the message on the step and gets an email that links straight to it. Readiness lists documents waiting for a check, a critical one keeps blocking the first day, and the Overview has a Documents to check card.

    • Told when documents arrive

The HR team gets a notification and one email per new hire a few minutes after the first upload, listing every document still waiting for a check.

    • Verification checks

Record how far background, employment, education and reference checks run with your provider have got: to start, in progress, verified, not verified, waived or not needed. Status only — never findings. A check needed before the first day blocks readiness until it is finished. HR and admins only.

    • Letter signatory

Admins set the person who signs for the organization — name, job title and a signature they upload or draw — under Settings. It is printed under every offer and confirmation letter and kept with each letter as sent. It is your signature block, not an electronic signature.

    • The documents every new hire uploads

Every sample onboarding plan now asks for an identity document (with the kinds that count listed), a residence card or work permit if needed, the tax ID, experience letters (not for interns), education certificates and the signed employment contract.

    • Staff account reminder

When a new hire starts without a staff account, HR and admins are reminded on the first day and once more a week later.

    Improved

    • HR team tasks in My tasks

HR members now see the HR team’s tasks under My tasks, and are emailed when a journey gives the team its tasks and when they fall due — not only in the app.

    • Uploads after the first day

New hires can upload to an open step while their onboarding runs, so a letter that arrives on their last day elsewhere still reaches you through their portal.

    • Sample sign-off

Sample offer letters now end with “Kind regards” and your organization’s name, with your signatory beneath.

    Fixed

    • First-day steps wait for the first day

New hires could mark a first-week step such as “Meet the team” done before joining. Steps for the first day or later now show “From your first day” and open on the start date.

    • Sample plan questions that were never asked

The remote plan’s home-setup step and the frontline plan’s uniform-sizes step were completed by the details form without asking anything. HR now asks for them.

  2. Live demo, free trial and Google sign-in

A public website with a live demo for every role, a 60-day free trial, Google sign-in as the quickest way in, plus legal drafts, data deletion on request and production backups and monitoring.

    New

    • Live demo with read-only accounts

Sign in to a fictional company as an admin, HR, a hiring manager or a task owner and see exactly what each role sees. Demo accounts are read-only: the server refuses every change, so the demo stays the same for everyone.

    • 60-day free trial

Every feature for your whole team, with no credit card. Sign up with Google and create your organization in a minute.

    • Google sign-in first

Continue with Google is now the main way to sign in and sign up; email and password stay available.

    • Deleting an organization’s data on request

On an organization’s instruction, its records, the accounts that belong only to it and its files can now be deleted together in one step.

    • Sample offer letters and onboarding plans

Start an offer template from a sample letter — full-time, part-time, fixed-term, internship, senior or shift-based — and an onboarding plan from a sample for office, remote, engineering, sales, intern, people-manager or frontline roles. Unused offer templates can be deleted.

    • A Get started guide for admins

A step-by-step checklist that takes a new organization from its details to its first offer, with a link to each place to set something up.

    • Staff accounts for new hires

Once a new hire has started and has a work email, HR can give them a staff account as a member or manager, linked to their record; they open their own onboarding from it.

    • Find my onboarding link

New hires who lost their link ask for a new one by email at /onboarding-link, and every email that asks them to act carries a working link.

    Improved

    • Privacy notice, terms and data processing agreement

Drafts checked against what the software actually does. Statements that depend on the operator or jurisdiction stay visibly marked as placeholders until counsel completes them.

    Security

    • Virus scanning for every upload

Every file is scanned with ClamAV before it is stored. Infected files are refused, and if the scanner cannot give an answer the upload is refused too.

    • Google first for Google addresses

Invitations to Gmail and Google Workspace addresses lead with Join with Google, so there is no new password to create.

    Fixed

    • Letter details

Amounts with cents now always show two decimals in letters, and the confirmation email no longer assumes the employee had a probation period.

    Reliability

    • Backups and monitoring for production

Set-up and drill tools for encrypted off-server backups, and outage alerts to Slack, Microsoft Teams, email or a webhook for the team running DayOneFlow.

  3. Dashboards, check-ins, probation decisions and launch hardening

The second half of the lifecycle — from the first day to a confirmed employee — plus the overview, reports, audit trail and a series of security, accessibility and reliability reviews.

    New

    • HR overview

Counts for offers awaiting the candidate, joiners in the next 7 days, probation decisions due, critical blockers and overdue tasks — each opening its list — with short action lists underneath.

    • My work

Managers and colleagues see their own new hires, upcoming starts, probation deadlines, reviews and tasks — only what they’re related to.

    • Portal home for new hires

A welcome page with a countdown to the first day, progress, the next steps and a simple journey timeline.

    • Review check-ins

Check-ins at any date, from the onboarding plan or added by HR, with a reviewer form, the new hire’s own comment and reminders.

    • Probation records and deadlines

Probation starts automatically on the first day, with an original and a current end date, dashboard counts and reminders.

    • Probation decisions

Confirm, extend or end probation, with a decision history that can’t be changed. Managers can decide for their own hires if the organization allows it.

    • Confirmation letter

An organization letter template and a PDF frozen at confirmation, downloadable by HR and — if you choose — by the employee in their portal.

    • Audit trail and Activity tab

An append-only record of who did what and when, with filters, an event page and each new hire’s Activity timeline.

    • Reports and CSV export

Seven operational reports, each downloadable as a spreadsheet-safe CSV file. Every export is recorded.

    • Portal link controls for HR

Revoke a new hire’s portal link at once, or email them a new one, from their overview.

    • Confirmation emails for candidates and employees

Candidates get an email confirming their own offer decision, and employees are emailed when their probation is confirmed or extended.

    • Contact email for candidates and new hires

Set the address candidates and new hires should write to. It’s the reply-to address on their emails and shown in their portal.

    • Privacy notice and terms pages

Linked from the website, the sign-in pages and every portal page.

    Improved

    • Offers

Cancelling a hire now withdraws any offer still out, HR sees when an offer has expired, and each acceptance records which version of the acknowledgement wording the candidate saw.

    • Finding new hires

The new-hire list can show readiness blockers and probation deadlines, and the portal has a “Your documents” page.

    • Accessibility and phone layouts

Automated accessibility checks across every page and role, keyboard tests, and the portal checked at phone widths down to 320 pixels.

    • Speed

Fewer database queries per screen, indexes for the busiest lists and bounded list sizes.

    Security

    • Authorization review

Every action, page and download was reviewed for role, relationship and cross-organization access, with tests that call actions directly instead of through the interface.

    • Portal links and abuse protection

Hardened portal links and rate limiting on public and portal endpoints.

    • Uploads, sessions and personal data

Stricter file upload checks, and a review of sessions, security headers, secrets and personal data in logs.

    Reliability

    • Production set-up

Health-checked deployments with automatic rollback, safe database migrations, daily encrypted backups with a tested restore, and monitoring with an operations runbook.

    • End-to-end tests

Automated browser tests take a hire from organization set-up to a confirmed employee, on desktop and mobile.

  4. Onboarding plans, tasks, preboarding and readiness

Everything between an accepted offer and the first day: plans that become owned tasks, the new hire’s details and documents, and joining readiness.

    New

    • Onboarding plans

Reusable plans with draft, published and retired versions, applied to everyone, a department, a location or both.

    • Task builder

Add tasks by stage with a type, who does it, a due rule and required or critical-blocker flags, and reorder them within a stage.

    • Journeys start on acceptance

When a candidate accepts, their journey is created once, with every task, owner and due date. Tasks nobody can do yet stay visible as unassigned.

    • Tasks for HR, managers and colleagues

My tasks, the HR queue, All tasks and My team, with start, done, blocked, skip, cancel, reopen and reassign.

    • Tasks in the portal

New hires complete their own tasks: mark them done, confirm an acknowledgement or upload a file.

    • Preboarding details

The “Your details” form for name, phone, address and an emergency contact — saved for later or submitted, editable until the first day.

    • Secure document upload

PDF, PNG and JPEG uploads checked by their contents, stored privately, with a Documents tab for HR.

    • Joining readiness

A readiness level and percentage for each joiner, with critical, overdue, unassigned and blocked items and their owners.

    • Start date changes with a preview

See which open tasks move before applying a new start date; completed tasks keep their history.

    • Email and in-app notifications

Transactional emails, a notification center and scheduled reminders with escalation for late critical tasks.

    Reliability

    • Background processing

Emails, reminders and letters are processed in the background and retried automatically after temporary failures.

  5. Organizations, new hires and offers

Set up an organization, add new hires and take them from an offer draft to the candidate’s decision.

    New

    • Organizations, members and invitations

Create an organization, set up departments and locations, and invite colleagues with one of four fixed roles.

    • Access rules

Roles combined with the relationship to each new hire, and separate data for every organization, checked by automated cross-organization tests.

    • New-hire records

Create and edit new hires, follow their lifecycle status, and search and filter the list.

    • Offer templates

Reusable offer letters in a safe plain-text format with variables.

    • Versioned offers

Offer drafts with a live preview; sent versions are frozen and can never be edited.

    • PDF offer letters

A PDF for every sent version, rendered from the frozen copy and stored privately.

    • Sending offers

Offers are emailed with a private portal link, with delivery tracked and retried.

    • Candidate offer page

Candidates read their offer on any device and accept it, request changes or decline.
