Common questions and fixes

The problems HR teams run into most often, and what to do about them.

  • A candidate says their link has expired or doesn’t work

Open the new hire’s page and, on the Overview tab, choose Email a new link on the New-hire portal card. Each new link replaces the previous one, so ask them to use the most recent email.

  • A link was forwarded or may have been seen by someone else

On the same card, choose Revoke link and Revoke now — the link stops working at once — then Email a new link.

  • The offer email went to the wrong address or didn’t arrive

If the address was wrong, correct the Personal email (required) with Edit, then choose Resend email on the Offer tab. If the tab shows the email failed, use Retry email (DayOneFlow also retries on its own). If it was sent, ask the candidate to check their spam folder.

  • “Send offer” is greyed out

Look at the Before sending checklist above the button. Usual causes: unsaved changes (choose Save draft), no salary, an accept-by date in the past, or a missing value such as [Department not set] — fill it in on the record or remove that line.

  • The candidate asked for changes

Their request is shown on the Offer tab. Under Revise the offer, choose Revise offer, make the changes and send the new version. It replaces the earlier one.

  • An accepted new hire has no tasks

No published onboarding plan applies to them — the Tasks tab says so. Publish a plan under Templates → Onboarding plans, then choose Start the onboarding journey on the Tasks tab.

  • A task says “Unassigned”

If the new hire has no manager, set the Manager with Edit: their manager tasks move to that person. If the owner has left, choose Reassign… on the task. Until then it shows as an unassigned blocker in readiness and in the HR queue.

  • The start date has changed

Choose Edit → Change start date, enter the New start date and choose Preview change first. Check which tasks move, then Apply change. This is possible until the first day.

  • A manager can’t see a new hire

Managers only see new hires where they are set as the Manager. Set them on the new hire’s record with Edit, and check their membership is active.

  • A colleague never received their invitation

Under People & Structure → Open invitations, check the address and choose Resend. Invitations are valid for 7 days; an expired one can be resent too.

  • The probation end date can’t be edited

From the first day, probation dates change only through a decision. On the Probation tab, use Record the outcome → Extend to set a later end date.

  • An employee can’t find their confirmation letter in the portal

Showing it in the portal is off by default. An admin can tick Show the confirmation letter to the employee in their portal in Settings; HR can always download it from the Probation tab.

Keep personal data out of email

Please don’t send candidates’ documents, salaries or other personal details. Never send a candidate’s personal link: anyone who has it can open their portal.

Are you a candidate or a new hire?

Your offer, tasks and details are managed by the organization that is hiring you. Please contact them directly: their contact email, and your manager’s name, are on your portal’s home page under Need help?

If your link has stopped working, ask them for a new one — it will arrive by email. For your security, DayOneFlow support doesn’t send portal links on an organization’s behalf.

Questions about your personal data? See our Privacy Policy.
