Getting started
Create your DayOneFlow account and organization, then follow the Get started guide so you are ready for your first new hire.
Documentation (17)
DayOneFlow follows one person from the moment you decide to hire them until their probation has a recorded outcome. Getting set up takes a few steps, and most of the configuration can wait until you need it.
Create your account
- Open Create an account. Enter your Full name, Work email and a Password, then choose Create account.
- Open the verification link we email you. If it expired or never arrived, the Check your inbox page lets you ask for a new one.
- Sign in. If the sign-in page offers Continue with Google, you can use your Google account instead of a password.

Create your organization
When you sign in and don’t belong to an organization yet, DayOneFlow offers Create an organization. The Create your organization page asks for:
| Field | What it is for |
|---|---|
| Organization name | The name your team, candidates and new hires see, including in letters and emails. |
| Web address | Your workspace address, /app/your-organization. Lowercase letters, numbers and hyphens. |
| Time zone | Used for due dates and reminders, and for “today” everywhere. |
| Date and number format | How dates and amounts are written. |
| Default currency | Used for offers. You can change it per offer. |
Choose Create organization. You become its first Organization admin. Everything here can be changed later in Settings.
Follow the Get started guide
After you create the organization, DayOneFlow opens Get started. Admins also see its progress and the next step on the Overview until everything is set up. Each step is ticked off by itself as soon as it is done, and links back to the guide:
- Add the contact email for candidates (required) — the address candidates and new hires reply to. See Organization settings.
- Add your departments and locations — new hires are filed under them. See Team, departments and locations.
- Invite HR colleagues and hiring managers — managers only see the new hires they manage.
- Create your offer letter template (required) — every offer starts from one. See Offer templates.
- Publish your onboarding plan (required) — accepted offers start their tasks from it. See Onboarding plans and journeys.
- Review the confirmation letter — the PDF created when you confirm an employee.
- Check the probation and portal settings (optional) — the defaults suit most teams.
- Add your first new hire (required), then send the first offer — a rehearsal to your own email is the best check of your template.

Find your way around
The navigation only shows what your role can use:
| Item | What you find there | Who sees it |
|---|---|---|
| Overview | What needs attention today | Everyone |
| New Hires | Hiring records and their tabs | Admins and HR (all), managers (their own new hires) |
| Tasks | Task lists with filters | Everyone who can have tasks |
| Templates | Offer letters and onboarding plans | Admins and HR |
| People & Structure | Members, invitations, departments and locations | Admins |
| Reports | Operational reports and CSV downloads | Admins and HR |
| Audit | The audit trail | Admins and HR |
| Settings | Organization settings | Admins |
Notifications sits at the top with your unread count. If you belong to more than one organization, Switch organization takes you to the list — one account can be a member of several organizations, with a different role in each.
Your Overview page
HR and admins see counts that each open the matching list: Offers awaiting the candidate, Accepted and preboarding, Joining in the next 7 days, In probation, Probation ending in 30 days, Probation decisions due, Critical blockers and Overdue tasks. Below them are short lists of what needs action, and the Upcoming joiners needing attention (see Joining readiness). A count always matches the list it opens.
Managers and members see My work instead: their new hires, upcoming starts, probation deadlines, pending and overdue tasks, critical blockers they own and upcoming reviews. It only counts records they are related to.
