Audit trail
What DayOneFlow records about every change, who can read the trail, how to filter it, and what it deliberately leaves out.
Documentation (17)
Every meaningful change in DayOneFlow is recorded as it happens, in the same step as the change itself: if the change is saved, so is its record. The trail cannot be edited or deleted from the application.
What is recorded
Each event records when it happened, who did it, what they did and to which record:
- members, roles and invitations; departments, locations and settings;
- new hires: creation, changes (which fields), start-date changes and every status change, including readiness overrides;
- offers: drafts, sending, PDFs, emails, and the candidate’s decision;
- portal links issued and revoked;
- offer templates and onboarding plans, including publishing;
- journeys, tasks (including skips and reassignments) and the new hire’s details being submitted;
- check-ins, probation decisions and confirmation letters;
- file uploads, removals and downloads, document checks, and report downloads;
- verification checks added and updated, and the letter signatory being changed.
The person is a team member, the new hire through their portal, or “DayOneFlow (automatic)” for scheduled steps such as the first-day milestone.
What it leaves out
The trail records what changed, not personal values: for example the names of the fields that changed, statuses, dates and version numbers — never free text such as reasons or review notes, salaries, or the content of documents. File names are not recorded either, because they often contain personal data.
Reading the trail
HR and admins open Audit in the navigation. The list shows the newest events first, 50 per page, and can be filtered by:
- Who — a member (current or former), “New hires (portal)” or “DayOneFlow (automatic)”;
- What — an action, grouped by area;
- Record type and Record id;
- From and To dates, in your organization’s time zone.
Choose Apply filters. Opening an event shows its details, including a request reference that helps support trace a problem.
The Activity tab
Each new hire has an Activity tab. HR and admins see that person’s full audit timeline above their status history; the new hire’s manager sees the status history only.
