Verification checks

Track how far the background, employment, education and reference checks you run with a provider have got — status only, never findings — and which ones must be finished before the first day.

If you run checks with an outside provider, record how far each one has got next to the new hire, instead of in a spreadsheet. DayOneFlow does not run checks or talk to providers: it tracks their status, never what a check found.

Add a check

HR and admins find Verification on the new hire’s Overview tab. Under Add a check, choose the Check — background check, employment history, education or references — optionally the Provider and its reference, and tick Needed before the first day if the new hire may only start once it is finished. Then choose Add check. Each kind of check can be added once per new hire.

Record its progress

Verification statuses
StatusMeans
To startAdded, not yet with the provider.
In progressThe provider is working on it.
VerifiedThe provider confirmed it.
Not verifiedThe provider could not confirm it; the details stay in their report.
WaivedYou decided not to run it — a reason is required.
Not neededIt does not apply, or was added by mistake.

Choose Update… on a check to change its status, provider details or timing. Never write findings in the reason: keep the provider’s report on the new hire’s Documents tab, with the category Verification report. Checks are never deleted, and every change is recorded in the audit trail without the reason or provider details.

Where it counts

  • A check needed before the first day that is to start, in progress or not verified is a critical blocker in joining readiness. Readiness shows only the check’s name, never its result.
  • The Verification to finish card and list on the HR Overview show every open check.
  • Before you record a probation outcome, the Probation tab lists checks that are not finished or not verified. It warns; it does not block.

Who sees it

Only HR and admins. Managers, members and the new hire never see verification checks — outcomes are sensitive, and anything adverse is for HR to handle with the person directly.
