Organization settings

What admins can change under Settings: organization details, the contact email candidates see, preboarding and probation options, the letter signatory and the confirmation letter.

Only organization admins see Settings. The page, Organization settings, has five parts, each saved with its own button.

Organization details

Organization details
SettingWhat it changes
Organization nameThe name your team, candidates and new hires see.
Web addressThe address of your workspace.
Time zoneWhat “today” means for due dates, overdue tasks, reminders, the first-day milestone and reports.
Date and number formatHow dates and amounts are written.
Default currencyThe currency new offers start with.
Contact email for candidates and new hiresOptional. Their replies to DayOneFlow emails go here, and their portal shows it.

Choose Save settings. We recommend setting the contact email before your first offer, so candidates know where to reply. Left empty, the portal shows no address.

Preboarding

New hires give their legal name, phone, address and an emergency contact before their first day. Tick Ask new hires for their date of birth only if you need it — for example for insurance or age-related rules. It is off by default. Choose Save preboarding settings.

Probation

By default, HR and admins record probation outcomes. Tick Managers may record the probation outcome of their own new hires to let a new hire’s manager confirm, extend or end probation too — never for another manager’s new hires. Choose Save probation settings.

Letter signatory

The person who signs for your organization appears under every offer letter and confirmation letter you send: their signature, name and job title. Enter the Name and, if you like, the Job title (optional). For the signature image, choose Upload an image (PNG or JPEG, up to 300 KB — a signature on a white or transparent background works best) or Draw it here with a mouse, finger or pen. Choose Save signatory; the page shows how it appears under a letter.

  • Each letter keeps the signatory it was sent with: changing or removing it later never changes a letter already sent. Letters sent before you set it have none.
  • It is your organization’s signature on its own letter — not an electronic signature of the letter, and not the candidate’s. Their acceptance is recorded as before.
  • Remove signatory takes it off future letters. Uploaded images are checked like every upload, and changes are recorded in the audit trail.

Confirmation letter

DayOneFlow creates a confirmation letter as a PDF when employment is confirmed. Edit the Letter title and Letter text in the same plain-text template language as offer letters (see Offer templates). The variables you can use are listed under the text:

  • employee.fullName, employee.firstName, job.title, department.name, manager.fullName
  • startDate, confirmationDate, organization.name

Tick Show the confirmation letter to the employee in their portal if confirmed employees should be able to download it themselves. It is off by default; HR and admins can always download it from the Probation tab. Choose Save confirmation letter, then check Preview with example details below — the preview shows the saved text.

Keep the wording you approved

If you keep the default text unchanged, DayOneFlow stores “use the default”, so a later improvement to the default would also change your future letters. Letters already created never change. To fix the wording exactly, save your own version.
