Before you start
Who can do this: Anyone with an email address. You become the organization’s first Organization admin.
- A work email address you can receive mail at.
- The email addresses of the HR colleagues and managers you want to invite.
- Optional: the names of your departments and locations.
Steps
Step 1: Create your account
Open Create an account on this website. Enter your Full name, Work email and a Password, and choose Create account. Open the verification link we email you, then sign in.Step 2: Create the organization
Choose Create an organization. Enter the Organization name and check the suggested Web address. Pick your Time zone — it decides due dates and when reminders go out — then the Date and number format and Default currency. Choose Create organization.Step 3: Open the checklist
After you create the organization, DayOneFlow opens Get started: a guided list of nine steps with the next one highlighted. Each step is ticked off as soon as it is done, and the Overview shows your progress until everything is set up.Step 4: Add departments and locations
In Get started, open Add your departments and locations. On Departments and locations, type a name and choose Add department or Add location. This step is optional, but plans can then be targeted at a department or location.Step 5: Invite HR and managers
Choose Invite HR and managers. Under Invite someone, enter an Email address, set the Role to HR and choose Send invitation. Repeat for each person; leave the role on Manager for line managers, who will only see the new hires assigned to them.Step 6: Keep an eye on the invitations
Each invitation appears under Open invitations with its role and expiry date (7 days). Use Resend if someone can’t find the email, or Revoke if you sent it to the wrong address. Once accepted, the person moves to Members.Step 7: Set the contact email for candidates
Open Settings and fill in Contact email for candidates and new hires — for example your HR team’s shared mailbox. Candidates’ replies to DayOneFlow emails go there, and their portal shows it. Choose Save settings.
What happens next
Your team can now sign in. Next, publish the onboarding plan that accepted offers will start from, then add your first new hire.
