Create a new hire and send the first offer

Add a new-hire record, prepare an offer from a template, check it with the before-sending checklist and send it to the candidate with a personal link.

Before you start

Who can do this: HR and organization admins.

  • An active offer template under Templates → Offer letters. The standard sample letter is fine for a rehearsal.
  • The candidate’s name, personal email, job title, employment type and start date.
  • For a first rehearsal: an obviously fictitious name and an internal mailbox you can open. Records are never deleted, so a clear test name keeps your history readable.

Steps

  1. Step 1: Add the new hire

Go to New Hires and choose Add new hire. Fill in the person, role and dates — at least First name (required), Last name (required), Personal email (required), Job title (required), Employment type (required) and Start date (required). Set the Manager if you know it, then choose Create new hire.
  2. Step 2: Start the offer

On the new hire’s page, open the Offer tab. Under Offer template, choose your template and choose Start offer. Version 1 is created as a draft; nothing is sent yet.
  3. Step 3: Enter the terms

Under Terms, enter the Annual base salary and Currency. Add an Accept by (optional) date if the offer should have a deadline; it counts until the end of that day in your organization’s time zone.
  4. Step 4: Check the letter

Under Letter, read the preview with this candidate’s details. A highlighted placeholder such as [Department not set] means a value is missing: fill it in on the new hire’s record with Edit, or remove that line from this offer.
  5. Step 5: Save and run the checklist

Choose Save draft. The Before sending checklist lists anything still in the way; when it says Ready to send, you can send.
  6. Step 6: Send the offer

Choose Send offer. Check the email address in “Send version 1 to …?” and choose Send now. The version is frozen, the candidate is emailed a personal link and the PDF is created. The new hire’s status becomes Offer sent.
  7. Step 7: Follow the delivery and the decision

The Offer tab shows whether the email went out and when the link was last opened. If the email failed, choose Retry email. When the candidate decides, you are emailed and notified:
    • Accepted: the onboarding journey starts from your published plan and the status moves to Preboarding.
    • Changes requested: read the request on the Offer tab, then use Revise the offer to send version 2.
    • Declined: the hiring record is cancelled.

What happens next

To end a rehearsal, decline the offer on the candidate page, or cancel the record with Edit → Cancel this hiring record…. For a real candidate, the next stop is getting them ready to join.
