Record a probation decision
Find probation outcomes that are due, read the final review, and confirm, extend or end probation with the right details — including the confirmation letter.

Before you start
Who can do this: HR and organization admins, and the new hire’s manager when Settings allow it.
- The new hire has started (status Onboarding or Probation).
- Ideally, the final review has been submitted.
- For a confirmation: the record’s job title, department and manager are right — the confirmation letter freezes them.
- For an extension: the new end date, the reason and what needs to improve.
- If you track verification checks, the Probation tab lists any that are not finished or not verified.
Steps
Step 1: Find the outcomes that are due
On the Overview page, HR sees Probation decisions due and Probation ending in 30 days; managers see Probation deadlines under My work. Open the new hire from the list.Step 2: Open the Probation tab
The Probation tab shows when probation started, the original and current end dates with the days left, any extensions, and “Outcome due” once the end date is reached.Step 3: Read the final review
The tab shows the final review and its status. Open it from the Reviews tab to read the reviewer’s summary, rating, strengths, concerns and next actions, and any comment from the new hire.Step 4: Choose the outcome
Under Record the outcome, choose Confirm, Extend or End under Outcome. Only that outcome’s fields appear.Step 5: Fill in the details and record it
- Confirm: add Notes (optional) and choose Confirm employment. The form tells you how many open tasks and check-ins it will close.
- Extend: enter the New end date, the Reason for the extension and the Improvement expectations, add a Next review (optional) date for a check-in, and choose Extend probation.
- End: write the Outcome note, add a Reference (optional) and Final day (optional), and choose End employment.
Step 6: Check what happened
The decision appears under Decisions. HR and the manager are notified in the app. A confirmation creates the confirmation letter (download it from the tab) and emails the employee; an extension emails them the new end date. An ending sends no email — tell the person yourself.
What happens next
Confirm and End are final. After an extension, the reminders and the tasks tied to the probation end follow the new date, and you record the outcome again when it comes due.
